
Program withdrawal or extension procedures
Students seeking to withdraw from or extend their study abroad program must follow these steps to ensure proper communication, academic continuity, and compliance with institutional and immigration policies:
- Initial Consultation
Contact the Study Abroad Office to discuss your request and understand the academic, financial, and logistical implications. - Departmental Approval
Inform your major department of your intent. If approved, the department must notify the Study Abroad Office of their decision. - Host Institution Coordination
Meet with the program coordinator at the host university to explain your situation. If approved, the host institution must also notify the Study Abroad Office. - Immigration Compliance
If you are extending your program, you must ensure compliance with all immigration requirements, including visa extensions or renewals if applicable. It is your responsibility to initiate and complete any necessary immigration procedures in accordance with host country regulations. - Responsibilities Upon Withdrawal
Students withdrawing from a program must:- Finalize all academic and financial obligations in the host country.
- Coordinate with instructors to complete coursework early. Note that instructors are not obligated to accommodate early completion and may assign a failing grade if requirements are unmet.
- Pay all outstanding balances (e.g., housing, tuition).
Washburn University and the host institution are not responsible for unresolved financial or academic matters.
- Responsibilities Upon Extension
Students extending their program are responsible for:- Securing housing for the extended period.
- Registering for additional coursework.
- Maintaining valid immigration status throughout the extended stay.
